“The cloud” gets used constantly in IT conversations, but ask most business owners what it actually means for their own data and you’ll get a shrug. It’s not a marketing buzzword or a single mysterious place — it’s a real, specific thing, and understanding it helps you make better decisions about your business’s technology instead of just nodding along.

The Cloud Is Just Someone Else’s Computer (And That’s Not a Bad Thing)

Strip away the marketing language and “the cloud” simply means your data and applications live on servers in a data center somewhere, rather than on a computer sitting in your office, and you access them over the internet. Those data centers are run by companies like Microsoft, Google, and Amazon, with redundant power, redundant internet connections, and physical security most small businesses could never replicate in-house.

That’s actually the appeal: instead of one server in a closet that fails when the power flickers, your data lives in infrastructure built specifically not to fail.

What’s Actually “In the Cloud” for a Typical Charleston Business

When we talk to clients about “the cloud,” we usually mean some combination of:

  • Email and productivity tools — Microsoft 365 or Google Workspace, where your inbox, calendar, and documents live on Microsoft’s or Google’s servers
  • File storage — OneDrive, SharePoint, or Google Drive instead of a local file server
  • Line-of-business software — QuickBooks Online, CRM platforms, industry-specific software that runs in a browser instead of installed on one PC
  • Backups — copies of your data stored offsite, so a fire or theft at your office doesn’t mean losing everything
  • Phone systemscloud-based VoIP, where your phone system lives online instead of in a box in a closet

Is the Cloud Actually Secure?

This is the question we get the most, and the honest answer involves something called the shared responsibility model. Microsoft and Google secure the infrastructure itself — the physical servers, the network, the platform. But securing who can actually get into your account is still on you: strong passwords, multi-factor authentication, and correctly configured permissions. Most of the “cloud got hacked” stories you hear are actually accounts that got compromised because MFA wasn’t turned on, not the cloud provider’s infrastructure failing.

That’s why cybersecurity and cloud services go hand in hand — moving to the cloud doesn’t automatically make you secure, it just changes what needs securing.

What “The Cloud” Doesn’t Do Automatically

A couple of assumptions we hear a lot, both worth correcting:

  • “It’s in the cloud, so it’s backed up.” Not necessarily. Microsoft 365 and Google Workspace have limited retention windows for deleted items, and neither is a substitute for a real backup and recovery plan. If a file is deleted and the retention window passes, it’s gone unless you have your own backup.
  • “The cloud manages itself.” Cloud services still need configuration, permission management, and monitoring. An unmanaged Microsoft 365 tenant with default settings is not the same as a properly secured one.

When the Cloud Isn’t the Right Answer

Occasionally there are real reasons to keep something on-premise — specific compliance requirements, software that simply doesn’t have a cloud version, or latency-sensitive applications. For the vast majority of small and midsize Charleston businesses, though, the cloud is the right default: less hardware to maintain, better redundancy, and access from anywhere your team needs to work.

If our data is in the cloud, do we still need backups?

Yes. Cloud platforms like Microsoft 365 have limited built-in retention, not full backup and recovery. A real backup plan is still necessary even when everything lives in the cloud.

Is our data actually safe from other people accessing it?

The infrastructure itself is highly secure. The bigger risk is account-level: weak passwords or missing multi-factor authentication are how most cloud accounts actually get compromised.

Do we lose access if our internet goes down?

Temporarily, yes, for most cloud services, though many tools offer limited offline functionality. This is one reason a reliable internet connection matters more than it used to for day-to-day operations.

Is moving to the cloud expensive?

Usually it’s the opposite — cloud services typically replace large upfront hardware costs with predictable monthly subscriptions, and eliminate the cost of maintaining physical servers.

Can we move some things to the cloud and keep others local?

Yes. Most businesses run a hybrid setup, at least during a transition. There’s no requirement to move everything at once.
